Administrative Support Assistant

The incumbent serves as the receptionist for the Field Office and provides principle clerical, administrative, and staff assistant support to Field and District Office's staff members. At the full performance level, duties include but are not limited to the following:
Providing general information concerning the Field Office both orally and in writing. Assisting with the development and formulation of the Field Office's budget, keeping full account of expenditures, assuring the accuracy of codes and dollar amounts are in compliance with existing regulations, policies and procedures. Serving as collections officer, preparing appropriate receipts, records, and tracking forms. Purchasing supplies and equipment using simplified acquisition procedures. Maintaining receipts and verifying transactions, and reconciling charge card statements for submission to the District Office. Assisting staff in preparation of travel authorizations, vouchers, and arrangements ensuring accurate coding, estimation of costs, and calculation of claimed expenses. Serving as clerical point of contact on specific resource programs and preparing resource related reports and other documents to be included in environmental assessments, resource management plan reviews, and other planning documents. Serving as the timekeeper for the Field Office, overseeing completion of and auditing time and attendance reports for all employees. Scheduling and dispatching motor vehicles and monitoring vehicle repairs, inspections, and maintenance as needed. Preparing, editing, finalizing, and tracking correspondence for Field Office supervisors and managers to ensure it meets agency standards prior to distribution. Physical Demands and Work Environment:
The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. May frequently lift relatively light boxes, materials, and supplies and/or carry file folders, copied materials, books, and other similar materials. Work is typically located in an adequately lighted, heated, and ventilated office environment. For GS-05:
One year of specialized experience equivalent to the GS-04 level in the Federal service. Work consists of performing a full range of standard clerical assignments and resolving recurring problems. Work consists of related steps, processes, or methods. Examples include:
performing administrative duties in support of the daily mission of an organization such as managing meeting schedules, reviewing incoming and outgoing mail, responding to routine inquiries from staff and customers, proofreading and finalizing correspondences, assist with tracking of budgetary obligations and expenditures; maintaining a file plan, or inputting, tracking or gathering data/information from various automated and non-automated systems. - OR - Successful completion of a 4 years of education above high school level.Equivalent combinations of post-high school education and specialized experience may be used to meet total qualification requirements for the GS-05 level.For GS-06:
One year of specialized experience equivalent to the GS-05 level in the Federal service. Work includes service as a clerical or administrative assistant, or related position, which consists of performing a full range of standard and non-standard clerical assignments and resolving a variety of non-recurring problems. Examples include implementing, monitoring, and maintaining various administrative and natural resources programs such as record keeping, central files, reports control, awards, timekeeping and related activities; responding to requests for information using discretion and tact and being mindful of sensitive and confidential issues; monitor and track budgetary obligations and expenditures; locating, assembling and composing information for various reports, inquiries, and non-technical correspondence; or reviewing documents and reports for completeness and entering information into an automated tracking system. There is no substitution of education for experience at the GS-06 level. Specialized
Experience:
Experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, this experience must have been equivalent in difficulty and complexity to the next lower grade of the position to be filled. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
